Ten Event Budget Saving Tips

Ten Event Budget Saving Tips

  1. Linens: House linens are free at hotels and restaurants and often perfectly acceptable.
  2. Restaurants: Restaurants rarely charge rental fees for private rooms, however hotels or special event venues usually do.
  3. Valets: Booking a venue that already has valet service will save several hundred dollars an hour for a large event.
  4. Centerpieces: Candles or an exquisite dessert tower is usually far less than flowers.
  5. Alcohol: If your group enjoys their vino, work out a cost/head rather than consumption with your venue or caterer.
  6. Decor: Lighting is an excellent way to set a mood and using colored gels on a blank wall can have a major impact for little $.
  7. Hotel Rooms: Hotels often provide you with a “staff room” rate –get as many of these rooms as you can for your team.
  8. Negotiate Internet Rate: Hotels can, and do, charge up to $1500/day/line for Internet access. Negotiate either zero charge or a flat fee for a multi-day conference/event.
  9. Sharing a Venue: Anytime you can book a venue with another group for back to back nights you can save on major ticket items like the AV, chair rentals, decor, stage sets, etc.
  10. H2O, the biggest budget saver: Serving water from pitchers is free rather than the typical $5++/bottle. Place full water glasses at every seat and provide pitchers on meeting tables. Voila! *Info from Bonjour Events
